How to Enrol | Registrar's Office (2024)

If you are a new student or have forgotten how to use the Registration and Enrolment Module, get familiar with the steps to enrolment described below.

Step 1. Before you log in, make sure that you...

  • go to Search Course Timetables and you select courses along with their catalogue numbers. You should also check departmental/supplemental calendars for course restrictions, placement test requirements, special permissions etc.

  • pick two or three alternative courses/sections/groups etc. in case your first choice is full.

  • build your timetable so that it is conflict free. The registration and enrolment system will not warn you if there are scheduling conflicts. Map out your class schedule using the timetable worksheets.

  • schedule all components (i.e. a lecture and lab, tutorial or workshop for courses that contain more than one component) into your timetable.

  • if you are a new student, sign up for a Passport York account.

Step 2. Log in to the system

Log in to the Registration and Enrolment Module using your Passport York username and password. If you are a new student sign up for a Passport York account.

Please note that it is unacceptable to use computer programs or scripts to gain access to the registration and enrolment system.

You may be blocked at this point from enrolling because:

  • you may be logging in incorrectly or you may have used the wrong username and password;
  • you are logging on before your enrolment access begins;
  • you are not academically eligible to enrol for the session based on your most recent grade report decision;
  • you have outstanding debts of $75 or more to the University;
  • the registration and enrolment system is temporarily unavailable;
  • it is determined that you have used a computer program or script to access the registration and enrolment system; or
  • you try to add, exchange or transfer the same course or section, more than 100 times in a 24 hour period.

To resolve any questions, please contact Registrarial Services at 416-872-YORK (9675). You can recover a forgotten Passport York username or password online, or contact the Computing Commons Counter. Step 3. Proceed to enrol (add, drop, transfer or exchange courses)

You can now proceed to enrol. There are four enrolment procedures you can do:

Add a CourseDrop a CourseTransfer a Lab, Tutorial or SectionExchange a Course

You can enrol in a course. Follow the steps:

  1. Click add a course.
  2. Type the catalogue number in the add course field.
  3. Click the add course button.
  4. The catalogue number, course and title will be displayed.
  5. If this is the course you want to add, click yes.

If you are unable to add the course, you will get an explanation.

You can drop a course.

  1. Click drop a course.
  2. Highlight the course you want to drop.
  3. Click the drop course button.
  4. The course and title will be displayed.
  5. If this is the course you want to drop, click yes.

Dropping a course may have a financial impact. Check the refund tables.

If you are unable to drop the course, you will get an explanation.

If you are enrolled in a course with a lab, tutorial or section, you can transfer into a different lab tutorial or section in the same course, in the same term.

  1. Click transfer course.
  2. Type the catalogue number of the meet or group that you want to transfer into.
  3. Click the transfer course button. The catalogue number, course and title will be displayed.
  4. If this is the transfer you want, click yes.

Because a successful transfer performs a drop of a lab, tutorial or section, it may have a financial impact. Check the refund tables.

You can exchange a course you are in for a different one.

  1. Click exchange course.
  2. Type the catalogue number of the course you want to add.
  3. Highlight the course you want to drop.
  4. Click the exchange course button. The catalogue number, course and title of both the course you are adding and the course you are dropping will be displayed.
  5. If this is the exchange that you want to make, click yes.

Using the feature to exchange a course performs the course add and course drop for you in one step. If you are not able to get into the second course successfully, e.g. it is full, you will still remain enrolled in the first course. If you are successful, the first course will be dropped. Because a successful exchange performs a course drop, exchanging a course may have a financial impact. Check the refund tables.

If you are not able to make the exchange, you will get an explanation.

Step 4. Before you log out, check your...

  • course enrolments and correct any errors, if there are any.
  • completed timetable to ensure that you have not enrolled yourself into any conflicts. It is your responsibility to avoid timetable conflicts.

Step 5. Log out of the system

  • When you are finished, always log out by clicking the logout button on the top of the window.
  • Go to Plot my Timetable to get your class schedule.
  • Pay your registration deposit to officially register in your courses.
